Gyms rarely struggle because of one missing feature. They end up running on four or five disconnected systems: a spreadsheet for memberships, a biometric terminal with its own separate software, a notebook for personal training sessions, a retail till that knows nothing about members, and payroll worked out by hand at month end.

Every one of those boundaries costs staff time and produces numbers that do not reconcile. Adding a second branch multiplies the problem rather than sharing the load, and none of it scales into something that could be sold to other gyms.

The requirement was a single platform covering the whole operation — architected as multi-tenant from the outset, so it could serve many gym businesses rather than being rebuilt for each one.

Membership and access

Member records with membership plans, freezes, status history and branch transfers. Attendance is captured through integrated biometric devices — the platform issues device commands and keeps a full device log — alongside QR-based check-in. Locker allocation is managed against member records.

Classes and personal training

Class categories, schedules and member bookings. Personal training runs as its own module: trainer availability, PT packages, subscriptions, individual session tracking and automatic commission calculation.

Training and nutrition programmes

Workout plans assembled from a reusable exercise and template library, diet plans built from a food database, and member progress tracked through goals, body measurements and progress photos.

Retail, finance and payroll

A point-of-sale module with products, stock movements, suppliers, purchases and returns. Invoicing covers payments, split payments, gateway transactions, refunds, expenses and daily cash closing. Staff management extends to shifts, attendance, leave, salary records and advances.

Sales and operations

Lead capture with sources and follow-up tracking, templated notifications with delivery logging and web push, announcements, bulk data import, and full activity and login auditing across the platform.

The platform replaces the separate membership, attendance, training, retail, finance and HR tools a gym would otherwise run in parallel, and brings multi-branch operations under a single tenant.

Because tenancy, subscriptions and plan limits were built into the architecture rather than bolted on later, one codebase serves multiple gym businesses without per-client forks.
