This policy explains what Novixa Systems (SMC-Private) Limited ("Novixa Systems", "we", "us") does with personal information collected through this website.
Information we collect
We only collect information you choose to give us:
- Enquiry and quote forms — your name, email address, and optionally your phone number, company name, budget range, timeline and the details of your project.
- Newsletter signup — your email address, and your name if you provide it.
- Job applications — your name, contact details, CV and anything you include in a cover letter.
We also record basic technical data with each form submission — IP address, browser user agent and referring page — solely to detect and block automated spam.
How we use it
- To reply to your enquiry and, where relevant, prepare a proposal.
- To send newsletters, if you subscribed. Every email includes an unsubscribe link.
- To assess job applications.
- To keep the website secure and functioning.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
Legal basis
Where the GDPR applies, we process enquiry data on the basis of taking steps at your request prior to entering a contract, newsletter data on the basis of your consent, and security data on the basis of our legitimate interest in preventing abuse.
How long we keep it
- Enquiries — up to 24 months after our last contact, then deleted.
- Newsletter subscriptions — until you unsubscribe.
- Job applications — 12 months after the role closes, unless you ask us to keep them on file.
Service providers
Our website runs on third-party hosting infrastructure, and we use an email delivery service to send and receive messages. These providers process data on our behalf under their own security obligations. If analytics is enabled, that provider receives anonymised usage data.
Cookies
This site uses a session cookie required for security (CSRF protection). If website analytics is enabled, additional cookies may be set to measure traffic. You can block cookies in your browser; the security cookie is necessary for forms to work.
Your rights
You can ask us to give you a copy of the personal information we hold about you, correct it if it is wrong, or delete it. You can also object to processing or withdraw consent at any time. Email hello@novixasystems.com and we will respond within 30 days.
Security
Data is transmitted over HTTPS and stored on access-controlled servers. Credentials and other sensitive settings are encrypted at rest. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes will be highlighted on the website.
